I need to uodate the other part of the terms and conditions.
Information
NEEDLE & NECTAR
BOOKING, TREATMENT & PACKAGE TERMS AND CONDITIONS
VERSION 2.0
EFFECTIVE FROM: 3 OCTOBER 2026
IMPORTANT
These Terms & Conditions apply to bookings made on or after 3 October 2026.
They do not retrospectively alter the terms applying to appointments or treatment packages booked before this date.
Needle & Nectar will retain historic versions of its Terms & Conditions so that the version applicable to any booking can be identified.
By booking an appointment, purchasing a treatment or package, paying a booking fee, making a package payment or undergoing treatment with Needle & Nectar, you confirm that you have been given the opportunity to read these Terms & Conditions and agree to be bound by them.
Nothing within these Terms & Conditions limits or removes your statutory consumer rights.
Needle & Nectar provides elective aesthetic, skin and beauty treatments.
Treatments are provided following appropriate consultation, assessment and consent.
Treatment is always subject to the practitioner's professional assessment of suitability.
Payment for a treatment does not create an obligation upon Needle & Nectar to perform an elective procedure where the practitioner reasonably considers that proceeding would be unsafe, unsuitable, clinically inappropriate or contrary to the client's best interests.
Needle & Nectar will always prioritise client safety over completing an elective treatment.
A consultation may be required before treatment.
Where a consultation fee applies, the amount will be stated before the consultation is booked.
A consultation is a professional service in its own right and may include:
Review of medical history
Discussion of medications and allergies
Previous aesthetic treatment history
Assessment of treatment suitability
Discussion of treatment goals and expectations
Explanation of treatment options
Risks and possible complications
Expected results and limitations
Aftercare requirements
Alternative options where appropriate
Opportunity to ask questions
Where a consultation has been completed, any applicable consultation charge relates to the consultation service already provided and is separate from any later decision as to whether treatment proceeds.
Clients must provide complete, accurate and up-to-date information regarding their health.
This includes, where relevant:
Medical conditions
Medications
Allergies
Pregnancy or breastfeeding
Previous adverse reactions
Previous aesthetic treatments
Current medical investigations
Recent illness
Changes in health
Relevant GP or specialist involvement
Any other information which may affect treatment suitability
Clients must notify Needle & Nectar of any material change in their health or medication before each treatment.
Failure to disclose relevant information may result in treatment being postponed, refused or discontinued.
Needle & Nectar does not diagnose medical conditions outside the practitioner's professional scope.
Appropriate consent must be completed before treatment.
Clinical records may include:
Consultation records
Medical history
Consent documentation
Treatment notes
Product and batch details
Treatment settings
Clinical photographs
Aftercare information
Records of adverse or unexpected events
Relevant communications
Clinical photography may be required for treatment records.
Marketing consent is separate and optional. Declining marketing consent will not affect treatment.
A booking fee may be required to reserve an appointment.
The amount of the booking fee will be shown before payment.
A booking fee forms part of the treatment payment and is normally deducted from the treatment price unless expressly stated otherwise.
Booking fees are not intended to operate as a penalty.
Where an appointment is cancelled, Needle & Nectar may retain all or part of a booking fee only where it fairly reflects genuine loss or costs caused by the cancellation and where permitted by law.
Needle & Nectar will not seek to recover the same loss twice.
A further booking fee may be required before a replacement appointment is reserved following a late cancellation, non-attendance or repeated appointment changes.
A treatment package is an agreement to purchase a complete course or combination of treatments at an agreed package price.
Packages may be offered at a substantial reduction compared with purchasing each treatment separately.
THE PACKAGE PRICE IS NOT A COLLECTION OF INDIVIDUALLY DISCOUNTED PAY-AS-YOU-GO TREATMENTS.
The package discount is offered because the client is committing to the complete treatment plan.
Where appropriate, products, consumables, practitioner time and treatment resources may be ordered, reserved or allocated based upon that commitment.
Every treatment package should be accompanied by a written Package Schedule.
The Package Schedule will identify, where applicable:
Treatments included
Number of treatments
Normal standalone treatment prices
Total normal standalone value
Agreed package price
Package saving
Initial payment
Remaining payment
Exact payment dates or payment stages
Products or product categories included
Any specific agreed variations
Approximate treatment sequence
The Package Schedule forms part of the agreement between Needle & Nectar and the client.
If internal booking-system figures are used to allocate portions of the package price between appointments for administrative or accounting purposes, those figures are not standalone retail prices unless expressly identified as such.
Clients should therefore refer to the Package Schedule for the agreed package price and standalone treatment values.
Unless otherwise expressly agreed in writing, treatment packages must be paid in full before the first treatment commences.
If Needle & Nectar agrees to permit payment by instalments, the Package Schedule will specify:
The amount of each payment
The exact date or event when each payment becomes due
Where an instalment becomes overdue, Needle & Nectar may postpone further appointments until payment is received.
Allowing additional time for payment on one occasion does not permanently change the agreed payment arrangement unless confirmed in writing.
The package price applies because the client has purchased the complete agreed treatment plan.
If the package is later discontinued after treatment has commenced, treatment already supplied may be valued using the normal standalone prices stated in the Package Schedule when calculating any refund or outstanding balance.
This is because the package discount was conditional upon purchase of the complete course.
Any calculation will be made fairly, transparently and subject to applicable consumer law.
Needle & Nectar does not necessarily hold all aesthetic products as general stock.
Certain products and consumables may be ordered specifically in response to confirmed bookings and treatment packages.
These may include, where applicable:
Dermal filler
Skin boosters
Polynucleotides
PDO threads
Microneedling or RF cartridges
Prescribed products
Treatment-specific consumables
Other specialist products
Where products have been purchased, prescribed, reserved or allocated specifically for a client's confirmed treatment plan, genuine unrecoverable costs may be taken into account if the treatment plan is subsequently cancelled or materially changed.
Needle & Nectar will take reasonable steps to reduce its losses where possible.
Needle & Nectar will not charge a client twice for the same product or loss.
Where a treatment requires a prescription or prescriber assessment, the client must complete the required assessment before treatment.
Treatment cannot proceed without the necessary prescription or authorisation.
Prescription, prescriber, ordering or preparation costs which have genuinely been incurred and cannot reasonably be recovered may be taken into account in accordance with applicable consumer law.
Payment does not guarantee that a prescription will be issued or that treatment will ultimately be clinically appropriate.
The treatment plan and products included will be discussed before treatment.
If a client subsequently requests:
A different treatment
A different product
A different filler brand
Additional treatment areas
Additional product
A different treatment sequence
Any other material change
this will be treated as a request to vary the agreed treatment plan.
A requested variation is not automatically included within the original package price.
Any change is subject to:
Clinical suitability
Practitioner or prescriber approval where required
Product availability
Additional product costs
Additional prescribing costs
Additional treatment costs
Products already purchased for the original agreed plan cannot automatically be exchanged simply because the client later prefers a different product.
Where genuine unrecoverable costs have already been incurred for the original plan, those costs may remain payable where lawful and reasonable.
If an unexpected symptom, reaction, medical concern, new diagnosis, medical investigation, medication change or other clinically relevant matter arises before, during or after treatment, Needle & Nectar may immediately stop, pause or postpone elective treatment.
This is a CLINICAL PAUSE.
A clinical pause is not automatically a cancellation of the treatment plan.
Where appropriate, the practitioner may advise the client to seek assessment, advice or clarification from:
Their GP
A specialist
NHS 111
Emergency medical services
Another appropriate healthcare professional
The practitioner may require reasonable medical clarification before further elective treatment is considered.
Medical clarification or clearance does not oblige Needle & Nectar to proceed with treatment.
The practitioner must still independently reassess treatment suitability before any further procedure.
Needle & Nectar will not knowingly proceed with elective treatment simply because a client has paid for it where the practitioner has reasonable safety or suitability concerns.
If a client becomes unwell or experiences unexpected symptoms during treatment, the practitioner may:
Stop the procedure
Pause the procedure
Reposition the client
Provide appropriate immediate supportive care within scope
Monitor the client
Advise medical assessment
Call emergency assistance where necessary
Postpone further elective treatment
The incident will be documented in the client's clinical record.
The client's subsequent opinion as to the cause of an episode will be considered, but the practitioner must make an independent professional decision about whether further treatment is appropriate.
Needle & Nectar may refuse, postpone or discontinue elective treatment where there are reasonable professional grounds for doing so.
These may include:
Clinical or safety concerns
New or undisclosed medical information
Medical investigations requiring clarification
Failure to follow relevant clinical advice
Failure to make agreed payments
Repeated appointment disruption
Abusive, threatening or inappropriate behaviour
Material disputes concerning clinically relevant events
Repeated accusations of dishonesty which materially undermine professional trust
A breakdown in the practitioner-client relationship
Any circumstances which cause the practitioner reasonably to conclude that continuing elective treatment would no longer be appropriate
A safe practitioner-client relationship requires sufficient professional trust on both sides.
Needle & Nectar will not be required to perform an elective treatment solely because money has previously been paid.
Where appropriate, the financial consequences of discontinuation will be assessed fairly in accordance with the refund provisions below.
If Needle & Nectar cancels an unprovided treatment purely for its own convenience and there are no serious clinical, conduct, payment or other client-related grounds for doing so, the client will be entitled to an appropriate refund for the unprovided service.
Needle & Nectar will not retain money for services it simply chooses not to provide without a legitimate basis.
Where a treatment package has commenced and some or all remaining treatment does not proceed, any refund due will be calculated fairly.
The calculation may take into account:
Treatments already supplied, valued at the normal standalone prices stated in the Package Schedule
Consultations already supplied where separately chargeable
Genuine client-specific products already purchased
Prescribed products already obtained
Treatment-specific consumables already purchased
Genuine direct costs already incurred for the client's confirmed treatment plan
Whether products can reasonably be returned, cancelled or reallocated
Any payments already made
Needle & Nectar will take reasonable steps to mitigate genuine losses.
Needle & Nectar will not make duplicate deductions or seek payment twice for the same loss.
If the calculation shows that money remains due to the client, an appropriate refund will be made.
If the value of treatment already supplied and genuine unrecoverable costs equals or exceeds the amount already paid, no refund will be due.
Nothing within this clause removes any statutory right to a refund or other remedy where applicable.
If the client chooses to discontinue a package after treatment has commenced, any refund will be calculated under Section 17.
The client is not automatically entitled to retain the benefit of the complete package discount after choosing not to complete the package.
Treatment already received may therefore be recalculated at the standalone prices clearly stated in the signed Package Schedule.
Any genuine unrecoverable client-specific costs may also be considered.
Needle & Nectar will not impose an excessive cancellation charge or recover more than its legitimate loss.
Please provide at least 48 hours' notice if you need to cancel or rearrange a standard appointment.
For advanced treatments requiring specially ordered products or significant preparation, a longer notice period may be stated at booking.
Appointments may normally be transferred once where reasonable notice is provided.
Repeated requests to move appointments may require:
A new booking fee
Payment in full before another appointment is reserved
Review of whether the treatment plan remains practical
Review of treatment suitability where excessive time has passed
Late cancellations and non-attendance may result in loss of some or all of the booking fee where this fairly reflects Needle & Nectar's genuine loss.
Needle & Nectar will not impose disproportionate cancellation charges.
Clients should arrive on time.
Significant lateness may mean there is insufficient time to perform treatment safely.
The appointment may need to be shortened or rearranged.
Where an appointment cannot proceed because of significant client lateness, any booking-fee decision will reflect the actual circumstances and reasonable loss incurred.
Aesthetic results vary between individuals.
No specific outcome can be guaranteed.
Factors affecting results may include:
Age
Skin condition
Anatomy
Lifestyle
Metabolism
Previous treatments
Medical history
Healing response
Compliance with aftercare
The need for further treatment does not by itself mean that the original treatment was defective.
Review arrangements vary between treatments.
Where a review or complimentary adjustment is included, this will be stated within the treatment information or booking confirmation.
A review appointment does not guarantee that additional treatment will be provided.
Any additional treatment remains subject to clinical assessment and suitability.
Free top-ups are not included unless expressly stated.
Clients must follow the aftercare advice provided.
If concerns arise following treatment, clients should contact Needle & Nectar promptly.
Clients must seek urgent medical assistance where symptoms require emergency assessment.
Failure to follow aftercare may affect results and may make further treatment inappropriate.
Known risks and potential complications will be discussed as part of the consent process.
A complication or unwanted outcome does not automatically mean that treatment was performed negligently.
Needle & Nectar will assess concerns appropriately and, where necessary, recommend medical assessment or onward referral.
Injectable cosmetic aesthetic treatments will only be provided to clients who meet the applicable legal age requirements.
Proof of age may be requested.
Other treatments may also be subject to treatment-specific age restrictions or consent requirements.
Where a contract is entered into online, by telephone or otherwise at a distance, statutory cancellation rights may apply.
Where applicable, the client will normally have 14 days from entering into the contract to cancel without giving a reason.
If the client asks Needle & Nectar to begin providing the service during that statutory cancellation period, the client must expressly request this.
Where permitted by law, the client may be required to pay a proportionate amount for services properly supplied before cancellation.
Where the service has been fully performed during the cancellation period at the client's express request and with the legally required acknowledgement, the statutory right to cancel may end.
These provisions do not affect any other statutory consumer rights.
ONLINE BOOKING CONFIRMATION:
Where applicable, clients should confirm:
"I expressly request Needle & Nectar to begin providing or arranging the service before the end of any applicable statutory cancellation period. I understand that if I subsequently exercise a statutory right to cancel, I may be required to pay for services properly supplied before cancellation, and that where the service has been fully performed in accordance with the law my cancellation right may end."
Needle & Nectar expects communications to remain respectful and professional.
Needle & Nectar will not tolerate:
Abuse
Threats
Intimidation
Discriminatory behaviour
Repeated personal allegations unrelated to the treatment dispute
Inappropriate communication with staff or third parties
Conduct which makes a safe professional relationship impossible
Where necessary, Needle & Nectar may end the practitioner-client relationship and restrict communication to a designated written channel.
This does not prevent a client from exercising lawful consumer rights, seeking independent advice, making a legitimate regulatory complaint or commencing legal proceedings.
Clients who are unhappy with treatment or service should contact Needle & Nectar through the designated business email address.
Please explain:
The treatment concerned
Date of treatment
Nature of the concern
Desired resolution
Any relevant supporting information
Needle & Nectar will review the relevant records before responding.
Once a substantive final response has been provided, Needle & Nectar is not required to repeatedly answer identical allegations or questions which have already been addressed.
Any genuinely new and relevant evidence will be considered.
Nothing in this clause prevents either party from exercising legal rights or participating in appropriate dispute resolution.
Business and complaint correspondence should be sent through the designated Needle & Nectar business contact method.
Personal social-media accounts and unrelated third parties should not be used for treatment complaints or contractual correspondence.
Where a dispute develops, Needle & Nectar may require communications to be made in writing so that an accurate record can be maintained.
Personal and medical information will be handled confidentially and in accordance with applicable data-protection law and the Needle & Nectar Privacy Notice.
Clinical information will not ordinarily be discussed publicly.
Where necessary, information may be disclosed to insurers, prescribers, healthcare professionals, legal advisers, regulators or other appropriate persons where lawful and relevant.
Needle & Nectar respects a client's right to express an honest opinion.
Client confidentiality means that Needle & Nectar may be unable to respond publicly with detailed clinical information.
Nothing in these Terms restricts lawful reviews or legitimate complaints.
Knowingly false statements, unlawful threats or other unlawful conduct may be addressed through appropriate formal channels.
Gift vouchers and promotional offers are subject to the conditions stated when issued.
Promotional discounts cannot normally be combined unless expressly stated.
A promotional or package price does not permanently alter the normal standalone price of the treatment.
Needle & Nectar may update these Terms & Conditions for future bookings.
Any updated version will have:
A version number
An effective date
Changes will not retrospectively alter an existing contract unless:
Both parties expressly agree to the change, or
The change is required by law
The version applying to a client's booking will be retained within Needle & Nectar's records.
Nothing in these Terms & Conditions excludes or restrict
