Needle & Nectar – Terms & Conditions

Please read these Terms & Conditions carefully before booking an appointment with Needle & Nectar. By booking an appointment, paying a booking fee or receiving treatment, you confirm that you have read, understood and agreed to these Terms & Conditions.
1. Booking & Booking Fees
- All appointments require a non-refundable booking fee to secure your appointment.
- Booking fees are deducted from the total cost of your treatment on the day of your appointment unless otherwise stated.
- Appointments are not confirmed until the required booking fee has been received.
- Certain treatments, including prescription-only treatments, vitamin injections and selected advanced procedures, require full payment at the time of booking due to prescribing, ordering and preparation costs.
- Needle & Nectar reserves the right to decline or cancel bookings where payment has not been received.
2. Consultation, Consent & Clinical Records
All clients must attend a face-to-face consultation before treatment unless an alternative consultation process is permitted by current legislation and professional guidance.
During the consultation clients will be required to:
- Complete a full medical history and health declaration.
- Disclose all relevant medical conditions, medications, allergies, supplements and previous aesthetic treatments.
- Discuss treatment goals and expectations.
- Receive a full explanation of the proposed treatment, including benefits, risks, limitations, possible complications, expected results, aftercare and alternative treatment options.
- Have the opportunity to ask questions before treatment.
- Complete and sign informed consent documentation.
- Consent to clinical photographs where appropriate. These photographs form part of the confidential clinical record.
- Complete a separate consent form for marketing or promotional photographs if they wish to participate. Marketing consent is entirely optional and declining will not affect treatment.
Clients are responsible for ensuring all information provided is accurate and up to date.
Needle & Nectar reserves the right to postpone or refuse treatment where treatment is considered unsafe, unsuitable or not in the client's best interests.
3. Cancellations, Rescheduling & Appointment Changes
- A minimum of 24 hours' notice is required to cancel or rearrange an appointment.
- Appointments may normally only be rearranged once without charge where sufficient notice has been provided.
- Further requests to rearrange appointments may result in the booking fee being forfeited and a new booking fee being required.
- Late cancellations (less than 24 hours' notice) will result in the booking fee being lost.
- Failure to attend an appointment without notice (no-show) will result in the booking fee being forfeited and future appointments may require payment in full at the time of booking.
- Repeated cancellations, repeated requests to move appointments or persistent failure to attend appointments may result in Needle & Nectar refusing future bookings.
4. Treatment Plans & Changes of Mind
Treatment recommendations are made following consultation and clinical assessment.
Where a client chooses to change the agreed treatment plan after products have been ordered, prescribed or purchased specifically for them:
- Any additional product or prescribing costs must be paid before treatment proceeds.
- Products purchased specifically for an individual client are non-refundable.
- A change of mind does not entitle the client to a refund of booking fees, consultation costs, administration costs or products purchased on their behalf.
- Needle & Nectar reserves the right to decline changes where clinically inappropriate.
5. Payment Policy
- All balances are due on the day of treatment unless otherwise agreed in writing.
- Outstanding balances must be settled before any further appointments are booked or carried out.
- Needle & Nectar reserves the right to recover outstanding debts through appropriate legal means where necessary.
6. Refund Policy
- Booking fees are strictly non-refundable.
- Payments for prescription products, specially ordered products and bespoke treatment plans are non-refundable.
- Refunds are not provided for dissatisfaction where treatment has been carried out appropriately and in accordance with informed consent.
- Results vary between individuals and cannot be guaranteed.
- If Needle & Nectar cancels your appointment, your booking fee will be transferred to a mutually agreed alternative appointment.
7. Treatment Suitability
Clients must disclose all relevant medical information before treatment.
Needle & Nectar reserves the right to refuse or postpone treatment if:
- Medical contraindications exist.
- Pregnancy or breastfeeding prevents treatment.
- Further medical clearance is required.
- Consent cannot be validly obtained.
- The practitioner believes treatment would not be safe or clinically appropriate.
8. Results Disclaimer
Every treatment is carried out with reasonable care, skill and in accordance with current professional standards.
Individual results will vary depending upon factors including healing response, lifestyle, medical history, anatomy and compliance with aftercare advice.
No specific aesthetic outcome can ever be guaranteed.
9. Clinical Photography
Clinical photographs may be taken before, during and after treatment for assessment, monitoring progress and maintaining accurate clinical records.
Marketing photographs will only be used where separate written consent has been obtained.
10. Late Arrivals
Clients arriving more than 15 minutes late may have their appointment shortened, rescheduled or cancelled.
Where insufficient treatment time remains, the booking fee may be forfeited.
11. Packages
Package prices are offered at a discounted rate based upon completion of the agreed treatment plan.
- Payment in full is required before or immediately following the first treatment unless agreed otherwise in writing.
- Products for package treatments may be purchased in advance and allocated specifically to that client.
- Failure to pay outstanding balances may result in all future appointments being postponed until payment has been received.
- Where clients choose to discontinue or change the agreed package after products have been purchased, refunds will not be issued for products, booking fees, administration or services already provided.
- Any additional products requested outside the original package will be charged separately.
Package Cancellation & Change of Mind
Treatment packages are offered at a discounted price on the understanding that the agreed course of treatment will be completed.
If a client chooses to cancel a treatment package, discontinue treatment, or change their mind after the package has commenced, they will not be entitled to a refund for:
- Booking fees already paid.
- Consultations already undertaken.
- Treatments already received.
- Products purchased, prescribed or allocated specifically for their treatment.
- Administration or clinical preparation costs.
Where treatment has already commenced, Needle & Nectar reserves the right to recalculate the cost of treatments already received at the standard individual treatment price rather than the discounted package price. Any outstanding balance resulting from this recalculation will become immediately payable.
If a client requests to change to a different treatment after a package has commenced, this will be considered at the practitioner's discretion. Any additional product, prescribing or treatment costs must be paid before the new treatment is carried out.
Package payments are non-transferable to another person and cannot be exchanged for cash or alternative services unless agreed in writing by Needle & Nectar.
12. Gift Vouchers & Promotions
- Gift vouchers are valid for six months unless otherwise stated.
- Vouchers are non-refundable and cannot be exchanged for cash.
- Promotional offers cannot be used retrospectively and cannot be combined unless stated.
- Lost or stolen vouchers cannot be replaced.
13. Client Conduct
Needle & Nectar reserves the right to refuse, postpone or discontinue treatment where a client:
- Behaves in an abusive, threatening or inappropriate manner.
- Repeatedly changes appointments.
- Repeatedly fails to attend appointments.
- Fails to make agreed payments.
- Refuses to comply with aftercare or clinical advice.
- Causes the practitioner to believe the professional relationship has broken down.
Any outstanding monies owed will remain payable.
14. Complaints & Disputes
If you are unhappy with any aspect of your treatment, please notify Needle & Nectar as soon as possible so your concerns can be investigated.
All treatments are supported by consultation records, consent forms, treatment notes and clinical photographs where appropriate.
Should legal proceedings arise, these records may be relied upon as evidence that treatment was carried out professionally and in accordance with these Terms & Conditions.
15. Data Protection
All personal information, consultation records, consent forms and clinical photographs are stored securely and processed in accordance with UK GDPR, the Data Protection Act 2018 and applicable professional record-keeping standards.
16. Amendments
Needle & Nectar reserves the right to amend these Terms & Conditions at any time. The version in force on the date of booking will apply to that appointment unless otherwise required by law.
17. Agreement
By booking an appointment, paying a booking fee or undergoing treatment with Needle & Nectar, you confirm that you have read, understood and agreed to these Terms & Conditions in full.
